POSITION: Secretary, School Counseling Office | Rossford Junior-Senior High School

DETAILS:
- 12-Month Position (260 Days)
- Eight (8) Hours Daily, 7:00 a.m. to 3:00 p.m.
- This position is available immediately due to an internal transfer.
QUALIFICATIONS:
- High school diploma or General Education Degree (GED) required; Associate degree in office administration or related field preferred.
- Proven ability to communicate effectively and maintain cooperative working relationships with students, parents, staff, and external contacts using tact, courtesy, and professionalism.
- Strong organizational skills with the ability to manage multiple tasks, prioritize, and meet deadlines.
- Excellent written and verbal communication skills, with attention to detail in correspondence and documentation.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Workspace (Docs, Sheets, Slides), and student management systems such as PowerSchool, as well as applications like FMX and eFinance.
- Experience with maintaining student records and handling sensitive, confidential information in compliance with FERPA (Family Educational Rights and Privacy Act).
- Ability to assist with scheduling appointments, coordinating meetings, and organizing events, workshops, or school-related functions.
- Ability to support the school counseling team with tasks related to college planning, scholarship applications, standardized testing, and academic advising.
- Strong problem-solving skills, with the ability to handle sensitive situations and respond to crisis needs in a calm and effective manner.
- Comfortable managing electronic communication (email, online platforms) and providing general office support for the guidance department.
- Genuine desire to support the district's vision of preparing, inspiring, and empowering all students to achieve success.
- Ability to adapt to a dynamic school environment and support a diverse student body with a variety of needs.
DUTIES:
- Student & Staff Support: Greet students, parents, and staff; assist with inquiries; and help prepare and distribute guidance-related materials. Provide administrative support to school counselors with research, materials preparation, and general tasks as needed.
- Communication & Coordination: Prepare and send communications to parents and students about guidance events, deadlines, and test dates. Facilitate communication between counselors, teachers, and administration on student needs, and assist with newsletters and bulletins.
- Student Data & Records Management: Use student management software to update and track student data, schedule appointments, record counseling notes (as directed), and monitor progress toward academic goals and graduation requirements. Ensure student records and counseling notes are kept confidential, in compliance with FERPA.
- Event & Program Coordination: Assist with organizing meetings, workshops, and events (college planning, career fairs). Support students with scholarship, financial aid applications, and standardized test registration. Help prepare student schedules, ensuring enrollment in required classes and organizing groupings for specialized programs.
- Office Management: Manage office supplies, maintain an organized and welcoming workspace, and assist with budgeting and tracking expenses for the guidance department.
- Crisis Response & Compliance: Assist in coordinating crisis response efforts, including scheduling emergency meetings and notifying appropriate personnel. Maintain compliance with district and state regulations regarding student data and counseling services.
- College Credit Plus (CCP) Program: Provide administrative support for tasks related to the College Credit Plus (CCP) program.
- General Responsibilities: Serve as a role model for students in responsible citizenship, and fulfill responsibilities as outlined in the job description, including other duties as assigned by the Principal or Superintendent.
